The goal was to design and deliver two seamless dashboards—a student portal for personalized study abroad resources and progress tracking, and a custom CRM for MastersBuddy’s team to streamline lead management, automate communication, and boost student conversions while reducing third-party costs.

MastersBuddy is a leading study abroad consultancy founded by top B-School alumni. With over 5000+ students guided, millions in scholarship wins, and a strong record of admits to schools like LBS, Duke, Cornell, and ISB, they helps Indian students navigate the complex study abroad journey with personalized mentorship, step-by-step loan & visa guidance, and interview prep.

Project Scope

  • End-to-end UI/UX design in Figma for both dashboards.

  • Collaborate with developers and founders for logic-driven workflows.

  • Design handoff with detailed documentation for smooth in-house development.

  • Focus on cost efficiency, scalability, and conversion optimization.

The Challenge

MastersBuddy was relying on expensive third-party CRM tools that lacked key features and couldn’t fully align with their unique student onboarding process. They needed:

  • A cost-effective, custom-built CRM with tailored features

  • A student-facing dashboard that was engaging, resourceful, and tied directly to the CRM

  • Smooth integration between both dashboards for real-time data syncing

  • A premium, intuitive design that built trust and credibility with students

The Solution

I designed two interconnected dashboards over 2.5 months, collaborating closely with the founders, developers, and operations team.

  1. Student Dashboard
    • A conversion-focused learning hub with free and paid access tiers.

    • Free Access:

      • Recorded video resources for IELTS Prep (Vimeo integration)

      • Profile evaluation tool with strengths, weaknesses, and recommendations

      • Bookmarking and saved universities

      • Referral bonus system (cash rewards for successful referrals)

    • Paid Access:

      • Loan & visa guidelines PDFs

      • Kira interview training videos

      • Industry-specific guides (business management, engineering, data science, etc.)

      • IELTS preparation tracker (progress + time tracking)

      • Downloadable 101 guides


  2. CRM Dashboard (MastersBuddy Team)
    • A custom-built sales CRM replacing costly third-party tools

    • Lead Management: From first contact to conversion with status flags (new lead, callback, DNP1–DNP7, active, not converted, converted)

    • Calendar & Scheduling: Organize student calls, follow-ups, and warm lead engagements

    • Templates Management: Create/edit dynamic WhatsApp & email templates with custom data fields

    • Communication Hub: Schedule email & WhatsApp campaigns using templates

    • Team Allocation: Assign students to sales reps & monitor progress

    • Student Details: Comprehensive data including intake, preferred course/country, CGPA, degree, lead source, assigned rep, and communication history (calls, recordings, follow-ups, messages)

    • Data Sync: Directly connected with the student dashboard for smooth onboarding and real-time updates


  3. Collaboration & Design Process
    • Started with discovery calls to understand student onboarding flow and sales team pain points

    • Defined custom workflows with founders to replicate their exact processes in a scalable, digital format

    • Designed modular UI components in Figma for faster development cycles

    • Regular feedback loops with founders, developers, and operations team ensured business goals stayed central

    • Delivered a developer-ready handoff with detailed annotations and states for every component

Final Results
